Administrative AssistantA contractor is seeking an Administrative Assistant who will be part of the Construction Team, which maps jobs for the Application Team and supports the Construction Administrator. Hours for this position are from Monday through Friday, from 8 a.m. to 5 p.m.Job Responsibilities:Monitor Job Chat daily and check Google Calendar for updates regarding job status and when mapping is neededMap the jobs by reviewing construction plans and creating a layout of the streets the application crew must completeEnter notes into Job Chat and update the Google Calendar about the job statusReview each tab of the daily Field Reports in Road Warrior to ensure no missing informationAssist with updating the daily Tanker Balance Spreadsheet for inventory purposesAssist with the Construction Calendar, compile and organize the Job Packets, and distribute them to the assigned SupervisorsAssist with the weekly 7-day envelopes collected from each driver and supervisor, follow up with the supervisor and driver if the envelope is missing, review all receipts in the envelope and ensure they are correctly recorded on the back of the envelope, and confirm gas receipts are uploaded correctly into E-logsAssist with the invoicing procedureAttend all construction meetingsRespond to all company communication within 24 hours either by phone calls, emails, text messages, etc.Perform other administrative duties assigned
